‘Electronic Content Management’ is one of the largest logistical problems for modern businesses. ECM-Solutions provides a 5 layer model to store, retrieve, and connect all your business data.
Each of the 5 layers deals with a specific business or administration role, however unlike many ‘off-the-shelf’ packages each layer can be linked to any other, i.e. view a scanned image of a purchase order from the Contact Manager, or upload the months sales targets to the web direct from the data control, or even link website orders directly to your Stock Control and Purchase Order System.
Please take a look through the specifics for each layer, or contact us for more information.
Stock Control can be one of the largest data systems within a business, whether it is relating to physical stock (their description, [bin] location, quantity and price) or service rate cards, it is essential that every transaction is recorded and more importantly can be retrieved from a variety of viewpoints (suppliers, customers and stock level history).
Our stock systems allow unlimited stock entries, unlimited description, quantity price breaks, supplier stock codes, serial numbers and full transaction history.
Data Management is the transfer of data around an organisation. This can be as simple as directing incoming support emails to the correct person by automatically parsing the contents of the email, to generating manufacturing orders or sales targets and posting them on to the Internet / intranet for the relevant departments.
Contacts within a CRM system are all of the suppliers, customers and other businesses that your company has correspondence with.
Although the CRM system holds a relatively low amount of data it is one of the most powerful systems within an organisation. By linking the CRM with the Stock Control you can now instantly pull up all of the sales to a particular customer and their total purchase amount, or select all of the suppliers that you buy a particular stock item from and how much each of them charges. By linking the CRM to the Data Management system you can extend the functionality further with a dairy and correspondence tool, store every phone call and email ever sent to a customer, arrange call back dates, fax and email customers/suppliers directly from the CRM system.
Order Fulfilment provides all the administration and logistic tools required to deliver an order to your customers. These tools include; Sales Order Processing (for both credit and cash sales), Purchase Order Processing, Manufacturing, Job Costing and Distribution Schedules.
Software solutions are available for EPOS (electronic point of sale) tills, call centres, mail order centres, eSOPS (direct link from an eCommerce shopping bag and payment gateway), or bespoke systems designed for your particular business needs.
Document Management includes; scanned images, digital camera images, pictures, word documents, spreadsheets, emails and attachments, offline web pages and data files. Microsoft Windows comes with an excellent document manager by default, ‘Windows File Explorer’, however trying to file the same document under a variety of categories (i.e. purchase order from companyA AND purchase orders in May) can mean either duplicating the file or adding shortcuts in each directory.
Our Document Management systems allow any document to be imported and stored just once. It can then be cross-referenced under an unlimited set of keywords, and more importantly linked directly to any customer/supplier (Contact Management system), any stock item (Stock Control), or even to a particular diary appointment or call back entry (Data Management system).
Website Integration falls into two distinct areas:
eCommerce is the traditional view of website integration, providing an online shop, catalogue or purchase form on the Internet. By linking the website with the Stock Control, Order Fulfilment and Contact Management layers it is possible to update the website direct from the stock system, have orders received straight into the SOPS program and online customer requests automatically added to the call back diary.
Intranets relate to internal networks or secure Internet websites, these systems are attached to the Data Management system and allow communication within an organisation. From simple systems such as online employee diaries and information postings (i.e. sales targets) to direct links to supplier ordering facilities and human resources tools (holiday bookings, timesheets and psychometric testing).
